Executive & Personal Assistant to Founder (Hybrid Role – Remote / Dubai Time Zone)

About the Role

We're looking for an exceptional Executive & Personal Assistant to support the Founder & CEO of a fast-growing direct-to-consumer beauty brand group.

This is a hybrid role — combining high-level executive support (calendar, communication, operations) with light personal coordination (travel, appointments, and logistics).

You'll be the right hand to a founder managing multiple companies and projects across beauty, technology, and real estate. The ideal candidate is sharp, discreet, proactive, and thrives in a dynamic, fast-paced environment.

What You'll Do
Executive Support (≈80%)


Manage a complex global calendar across multiple time zones — scheduling internal and external meetings, protecting focus time, and aligning with department heads.

Handle email triage and communication, drafting and prioritizing responses on behalf of the founder.

Prepare meeting briefs, notes, and follow-ups — ensuring clear next steps and accountability.

Coordinate cross-department tasks in ClickUp, Notion, and Slack; maintain visibility on project status and upcoming deadlines.

Assist in recruiting and onboarding processes, coordinating interviews and follow-ups with candidates.

Support in creating presentations, documents, and reports for internal meetings and external partners.

Maintain discretion with highly confidential business and financial information.

Personal Coordination (≈20%)

Organize travel logistics (flights, hotels, transfers, visas) for both business and personal trips.

Manage personal calendar items, appointments, and reservations to avoid conflicts with business commitments.

Assist with lifestyle management — including property-related coordination, deliveries, and select personal vendors.

Handle occasional personal purchases, research, or gift sourcing.

Who You Are


Experienced: 3+ years as an Executive Assistant or Chief-of-Staff-style role, ideally supporting a founder, CEO, or C-level in a startup or DTC environment.

Tech-savvy: Strong experience with Google Workspace, Slack, ClickUp, Notion, Shopify, Gorgias, or similar tools.

Proactive communicator:
You anticipate needs, follow up without being asked, and write clearly and professionally.

Contract duration of more than 6 months. with 30 hours per week.
